The Office Manager serves as the central point of coordination for office operations, executive support, and financial administration within the Kansas City division. This role combines front desk responsibilities and general office management with direct executive assistant support to the Vice President. Additionally, the Office Manager is responsible for accounts receivable tracking, Concur expense management, staff travel logistics, and event coordination, all while maintaining discretion, professionalism, and a solution-oriented approach. Key Responsibilities:
1. Front Desk Attendant:
- Serve as the first point of contact for all visitors, clients, and employees entering the office
- Greet guests warmly and professionally; ensure they are comfortable and attended to while waiting for meetings
- Answer and direct incoming phone calls promptly and courteously
- Manage the front desk and reception area to ensure a clean, organized, and welcoming environment
- Coordinate visitor check-in and communicate with internal staff to notify them of guest arrivals
- Handle incoming and outgoing mail and deliveries
- Maintain conference room schedules and ensure rooms are prepped for meetings as needed
- Uphold a professional and friendly demeanor that reflects the company’s culture and values
- Calendar and schedule management for Vice President
- Scheduling internal and external meetings on behalf of Vice President
- Tracking, monitoring, and following up on action items for Vice President
- Preparing and printing reports/documentation, particularly when a signature is required
- Code receivable checks and notify / forward to corporate for verified posting.
- Management and reporting of accounts receivable on a weekly basis.
- Follow up with Cash Managers on all outstanding accounts receivable, assist in collections where necessary.
- Attend and provide update to Corporate Controller in bi-weekly accounts receivable review meeting.
- Handle all check requests for Kansas City office.
- Train and assist Midwest employees with submitting expense reports and making corrections as required.
- Gather all pertinent information and submit/input credit card requests for new users.
- Ensure expense reports are completed for all exiting employees.
- Complete expense reports Director level and above.
- Oversight of all fraudulent credit card activity, ensuring proper reporting has been completed when observed.
- Maintain a log of all employees showing outstanding expense reports and value of open expenses for individual employees and Midwest Region as a whole.
- Maintaining utilities, third party services, and lease agreements.
- Manage all office planning and maintenance, inclusive of repairs and improvements with landlord.
- Manage any corporate housing requirements for staff.
- Perform all duties for staff travel coordination, with exception of those that have access to book for themselves, for hotels, flights, vehicles, etc.
- Coordinate company sponsored events and meetings with pre-determined budgets approved by Director or Vice President.
- Perform all duties of mail by distributing and getting packages sent out from the office in an efficient manner.
- General office supply procurement, including inventory and management of office supply closet, meeting room refreshments, toiletry items, and various other office consumables.
- Exceptional time management, both in executing their own tasks and ensuring follow-through on tasks assigned to others they support
- The ability to handle sensitive information with professionalism, maintaining a high level of discretion and trust
- Accurate data entry skills with great attention to detail and timeliness.
